Stage 10: Stabilization
Post go-live stage. No hard endpoint. Use it to set expectations for the first, second, and third months after go-live, work a simple stabilization checklist, and capture deferred Phase 2 work.
phase_key: stabilization
Prepare for months 1-3
Those first months can be very hard if the team did not prepare ahead: proper setup, testing, training, and balance loading. Do the work up front and stabilization is much smoother. That ground is already covered in Testing & Training; re-emphasize it here so leadership and end users know what to expect after go-live.
What this stage accomplishes
- The team understands that Stabilization has no fixed end date and that months 1-3 after go-live need deliberate preparation.
- A stabilization checklist covers first month-end close, first project review meetings, and first year-end close, each with target date, responsible person, and status.
- Deferred implementation work can be parked as Phase 2 after live (for example add Equipment or Inventory later).
- Operational handoff out of the Playbook is confirmed when the checklist and ownership picture are under control.
Typical work / artifacts
- Stabilization plan framing (post-live expectations for months 1-3)
- Stabilization checklist items with target date, responsible person, and status
- Optional Phase 2 / catch-all items for work deferred past go-live
- Operational handoff confirmation
Stabilization checklist
A simple checklist to get minds working on post-live realities (even if many users will not live in this screen day to day):
- Prepare for the first month-end close
- Prepare for the first project review meetings
- Prepare for the first year-end close
Each item supports target date, who is responsible, and status.
Under an item there can be more detail. Light examples: all AP entered, all AR entered, close the month in GL. Describe the overall concept here; do not dump every line item unless a short example helps.
Catch-all / Phase 2
Also useful for work deferred during implementation that becomes Phase 2 after live. Example pattern: go live first, then add Equipment or Inventory later. Add those deferred items to the checklist with owners and target dates so they do not disappear after handoff.
Connection to Company Tracker / Vista
Stabilization checklist and milestone guidance are Playbook process controls. This stage does not use a Company Tracker sync panel the way Core Configuration, Integrations, Testing & Training, or Beginning Balance Decisions do. Ongoing Vista operations continue under normal company ownership after handoff.
Exit / moves to next stage
Stabilization is complete when the checklist and ownership picture are under control and operational handoff is confirmed. This is the last numbered Playbook stage. Ongoing plan work after the Playbook continues in Company Tracker and normal Vista operations.
