Purpose​

Complete the Equipment Management Module Setup action for EM Standard Maintenance Groups so decide/load/accept is clear before live EM. Form field detail stays on the Vista article.

Prerequisites​

  • Optional capability: enable only when in scope (otherwise hide via Tracker visibility).
  • Equipment meters and EM Equipment records are in place.
  • Know the interval basis for each group: Hours, Miles/km, Fuel, or Annual date.
  • Keep meter readings current; next-due logic depends on them.

Implementation guidance​

When to use them​

  • Adopt only for internal maintenance: standard maintenance groups and EM work orders apply only when the client does maintenance on its own equipment with internal staff. Clients that send equipment out to third parties for repairs don't use this setup.
  • Ask early: find out during discovery who maintains the fleet. If the answer is outside shops, mark this action N/A or hide it in the Tracker, along with the work order setup.
  • Not ready yet: if the client does internal maintenance but isn't ready to run preventive maintenance at go-live, hide this action and add it after go-live.

What a group does​

  • A group bundles maintenance tasks that share the same interval, such as an oil change every set number of hours.
  • The interval basis is hours, miles or kilometers, fuel, or an annual date. Pick the basis that matches how each type of equipment is actually measured.
  • Tasks can carry required parts, so work orders generated for due maintenance come with the tasks and parts already filled in.
  • Groups are assigned to equipment, or to a component when an attachment is maintained on its own.

Decide / load / accept​

  • Confirm the client does internal maintenance. If not, mark the action N/A.
  • Agree the groups, interval basis and tasks with the shop, then key them and assign them to equipment.
  • Enter current meter readings and last-done values before generating the first work orders, and accept with the owner.

Tips and gotchas​

  • Next-due dates come from meter readings. If meters are stale, the due list is wrong, so make sure the client has a plan to keep meter readings current from go-live.

Done when​

  • In-scope setup for this action is loaded (or explicitly N/A / hidden when optional and out of scope).
  • Owner accepts the decide/load result for go-live.
  • Linked Vista configuration matches what was accepted.
