HQ Company Setup
Company Tracker action: implementation-setup-hq-company-setup
Milestone: Headquarters / Module Setup (core_milestone_id=2)
Order: 2
Estimated duration: 0.25 hours
Typical owner: IT
Purpose
Create the Vista company record with name, address, tax ID, and the eight group assignments that control which shared masters the company uses.
Prerequisites
- Kickoff sign-off on future-state operating direction (Stages 1–3).
- Overall company structure and test company numbers determined early (live numbers later for go-live planning).
- Code Format Design decisions agreed (sticky once setups/transactions exist).
- Group-sharing plan for the eight groups decided before create (share-vs-separate; never share live with test).
- Required group numbers already created on HQ Groups when new numbers are needed (Groups is Order 1 for this reason).

Implementation guidance
- Live company numbers are client-chosen; document the choice. Typical live company number: 1. Recent default test companies: 201 (US), 202 (Canada), 203 (Australia).
- Hard rule: never share groups between live and test companies.
- Workflow note: the live company is created after testing as a copy of the test company. All companies in the same database share the same code formats.
- Default group numbering: group numbers match the company number unless multi-company sharing is intentional.
- Common share patterns: Tax often shared; Vendor and Customer usually separate; Phase can be shared when JC phase structure matches; Materials often shared when inventory/PO masters are common; Equipment cost codes/shops and Contacts usually separate.
- This action covers create company + assign the eight groups (+ form defaults/audit on HQ Company Setup). Later HQ forms stay out of this action.
- Address and tax ID are nice-to-have up front, not required before creating the company.
- Gotchas: wrong group assignments lock masters and transactions; sharing live with test contaminates masters; skipping audit options loses change history.
Done when
- Test company record exists with name and the eight group assignments matching the agreed group-sharing plan.
- Audit/options defaults reviewed on HQ Company Setup per implementation policy.
- Documented: company number(s), group numbers, and live-vs-test separation rule for this client.
