Purpose​

Establish shared contact records used across Vista modules for vendors, customers, service sites, and other business relationships.

Prerequisites​

  • Contacts group decision on HQ Company Setup Additional Info (usually separate per company unless intentional share).
  • Create contacts in HQ Contacts before assigning them to SM customers/sites/work orders (and similarly before relying on them in AR/AP/PM firm flows).

Implementation guidance​

  • Consumers: Service Management (sites/work orders), AR customer contacts, AP vendor contacts, PM firm contacts.
  • Contacts can be shared across companies via the Contacts group on Company Setup Additional Info. Default policy: keep separate per company unless intentional cross-company sharing.
  • Create contacts here first, then assign them in the consuming modules.
  • Gotcha: out-of-date contacts break service communication. Note an ownership process for keeping contact data current.

  • Shared contact records needed for day-one SM/AR/AP/PM relationships exist in the Contacts group.
  • Ownership process noted for keeping contact data current.
