HQ Groups

Purpose​

Create the group records that companies will use for group-controlled masters (customers, vendors, phases, tax codes, materials, and related lists). Groups must exist before they can be assigned on HQ Company Setup.

Prerequisites​

  • Company structure and test company numbers planned (see HQ Company Setup for the assignment and share-vs-separate story).
  • Group-sharing intent decided in Kickoff / Code Format Design before creating groups you will stick with.
  • Default numbering pattern agreed (often group numbers match company number unless multi-company sharing is intentional).

Implementation guidance​

  • Do this before HQ Company Setup when new group numbers must exist to finish company create.
  • If the company will reuse group numbers that already exist, you may only need to assign them on Company Setup. For a new implementation, create the group numbers that match the company plan first.
  • Default numbering: group numbers often match the company number (for example test company 201 → groups of 201) unless multi-company sharing is intentional.
  • Share-vs-separate strategy, live-vs-test hard rule, and stickiness of group decisions live on Company Setup. This page does not restate the full eight-group matrix.
  • Scope: create/maintain group records so they can be assigned. Assignment of the eight group fields happens on Company Setup.
  • Groups do not control true all-company masters (units of measure, states, earn types, and similar). Those are shared by all companies.
  • Gotchas: never share group numbers between live and test; changing group strategy after setups/transactions is costly; if sharing tax/materials across companies, related GL/JC codes must exist in each sharing company.

Done when​

  • Required group records exist for the planned company number(s) and can be selected on HQ Company Setup.
  • Live and test group numbers are distinct (no shared group numbers between live and test).
