HQ Insurance Codes

Company Tracker action: implementation-setup-hq-insurance-codes Milestone: Headquarters / Module Setup (core_milestone_id=2) Order: 10 Estimated duration: 0.5 hours Typical owner: Payroll

Purpose

Define insurance code IDs and classify each as Workers' Compensation or General Liability for payroll insurance tracking.

Prerequisites

  • Company exists; payroll/insurance scope known (Workers' Comp vs General Liability classifications needed).
  • Understand setup order: HQ Insurance Codes (IDs + WC vs General Liability class) → later PR State Insurance Codes (rates) → optional JC Insurance Templates → employee defaults.
  • Do not expect rates on this form; rates live in PR State Insurance Codes.

Vista configuration article

See the detailed Vista guide:

Setting Up HQ Insurance Codes

Field meanings and form steps live there. Do not restate them on this page.

Implementation guidance

  • This form defines insurance code IDs and WC vs General Liability classification only. Rates are not stored here.
  • Sequence: HQ Insurance Codes → PR State Insurance Codes (state rates + deduction/liability links) → optional JC Insurance Templates → employee defaults.
  • Employee insurance state comes from PR Company Parameters (job state, SM work-order state, resident-employee settings), not from this form.
  • When JC Insurance Templates are enabled, Vista uses phase-based WC rates from templates; otherwise it uses the employee's standard insurance code.
  • Part of the payroll cluster with Liability Types and Earn Types.
  • Critical gotcha: do not process payroll for a state until current rates exist in PR State Insurance Codes. Missing rates produce zero or wrong accruals.

Done when

  • Required insurance code IDs exist and are classified as Workers' Compensation or General Liability.
  • Team knows rates must be loaded in PR State Insurance Codes before processing payroll for a state.
