Purpose​

Set Inventory company parameters so valuation, cost relief, pricing, negative-QOH warning, and GL interface detail match how the client will stock and issue materials.

Prerequisites​

  • Accounting agrees valuation method (month-end) and cost method (in-month relief).
  • Know which sale types need pricing defaults (customer / job / inventory / equipment / service).

Implementation guidance​

  • Valuation method (most important): how inventory is valued for monthly reconciliation — average cost, FIFO, LIFO, or standard cost. Client-specific accounting choice.
  • Cost method (most important): how inventory is relieved as entries post during the month — average cost, last cost for that material, or standard cost. Also a client accounting choice.
  • Display warning if quantity on hand is negative: useful ON so native Vista entry warns when stock would go negative (for example when writing against inventory). Less critical when a third-party integration owns ordering.
  • Pricing options: by customer / job / inventory / equipment / service sales. Average cost plus markup is the most common; other methods exist depending on how they record sales.
  • GL interface (material order / job cost): recommend Detail so GL and subledgers keep maximum detail.
  • Decide / load / accept: lock valuation + cost method with Controller before go-live; set pricing and detail interface; accept.

Tips and gotchas​

  • Valuation ≠ cost method — one drives month-end value, the other drives in-month relief.
  • Do not change valuation/cost method casually after live.
  • Detail interface is the default recommendation.

Done when​

  • Valuation and cost methods are accepted with accounting.
  • Negative QOH warning and pricing defaults match process.
  • Material order / job cost interfaces are Detail (unless an accepted exception).
