JC Insurance Template

Company Tracker action: implementation-setup-jc-insurance-template Milestone: Job Cost / Module Setup (milestone_id=5, core_milestone_id=2) Order: 7 Estimated duration: 0.5 hours Typical owner: Controller

Purpose

Assign workers' compensation insurance codes by phase on a JC Insurance Template and attach the template to jobs when Payroll insurance is driven by phase (or SM work-order scope).

Prerequisites

  • In PR Company Parameters, Insurance Based on Phase or SM Work Order Scope is selected. Otherwise JC Insurance Templates are not used. Hide this action when that flag is off.
  • PR insurance codes and the phase list you will map are ready.
  • Know area / state variants that need separate templates.

Vista configuration article

See the detailed Vista guide:

Setting Up JC Insurance Template

Field meanings and form steps live there. Do not restate them on this page.

Implementation guidance

Decide (client / kickoff)

  • Enable only when Payroll insurance is phase-based (or SM work-order scope). Otherwise hide — most clients never need this form.
    • Uncommon in practice (a handful of clients). Multi-state alone is not the trigger; use it when they want insurance codes controlled at the phase level for specific tracking.
  • Which phases map to which insurance codes. For non-standard phases (third part of the phase code), template-level assignment may be impractical. Prefer job-phase or PM Project assignment instead.
  • Whether Copy Template clones by area / state are needed.

Load / accept (implementation defaults)

  • Load phase + insurance code pairs manually or seed with File > Initialize Phases, then adjust codes.
  • Assign the template on JC Jobs for jobs that should use this map.
  • When no code exists on job phases / PM project phases or on the template, Vista falls back to the employee insurance code.
  • Accept means Payroll / safety owner confirms phase-to-insurance maps for go-live jobs.

Tips and gotchas

  • Insurance Template: only when PR insurance is phase-based; uncommon. Phase-level control is the reason, not multi-state by itself.
  • Building templates when PR is not phase-based wastes work. Confirm the PR Company Parameters flag first.
  • Silent fallback to employee insurance masks missing phase maps until claims / audits surface them.
  • Non-standard phase segments often need job-level assignment, not a bloated template.

Done when

  • Either: insurance templates out of scope (N/A / hidden), or
  • In-scope templates exist and are ready to attach on jobs with accepted phase maps.
