Understanding the PM Contract Analysis Drilldown Report % Complete Calculation

Overview

The PM Contract Analysis Drilldown report may sometimes display an unexpected % Complete value, particularly when Actual Costs and Projected Costs are the same. This article clarifies how the % Complete is calculated and offers solutions to achieve 100% completion.

% Complete Calculation

The % Complete is calculated using the formula:

% Complete = Actual Cost / Cost to Complete

Where:

  • Actual Cost is the cost incurred to date.
  • Cost to Complete is determined at the Contract Item level. If a Projected Cost exists, that value is used; otherwise, if it is $0, the Current Estimate is used.

Example Calculation

Consider the following values by Contract Item through December 2025:

  • Item 1 has a Projected Cost of $30,538.50.
  • Item 2 has no Projected Cost, so the Current Estimate of $9,434.85 is used.

The total Cost to Complete is:

Total Cost to Complete = $30,538.50 + $9,434.85 = $39,973.35

Thus, the % Complete is calculated as:

% Complete = $30,538.50 / $39,973.35 = 76.40%

Achieving 100% Completion

If your goal is to show 100% completion in the report, you have two options:

  1. On JC Job Phases, point all Phases to Contract Item 1.
  2. Enter a cost projection of $0.01 for any Phase pointing to Contract Item 2 and reduce the projected cost for any Phase pointing to Contract Item 1 by $0.01.
