Approve and Post Bank Reconciliation
Finish a statement after matching and clearing: confirm the Recap is in balance, then submit for approval (if the account has an approver) or post the reconciliation to Vista.
Where: Bank Reconciliation workbench → Recap sidebar primary action
Route: /missioncontrol/tools/bank-reconciliation/:statementId
Match and clear first — see Import and match a bank statement. Approver assignment is on the account card — see Set up bank accounts and import templates.
Before you post
All of these must be true for the primary action to enable:
| Check | Why |
|---|---|
| Variance ≈ 0 | Working balance must equal statement balance |
| At least one match or clear | “Create a match or clear at least one outstanding entry before continuing.” |
| Status allows posting | Not already Posted; valid review/approval state for your role |
If variance is off, go back to Statement / Outstanding work. Do not force post.
Primary action labels
The Recap button label depends on approver and ERP status:
| Label | When |
|---|---|
| Submit for Approval | Account has an approver and the statement is still In Review |
| Post Reconciliation | No approver (posts immediately), or you are the assigned approver after submission |
| Finish Posting | ERP posting is in progress / waiting to finalize |
| Retry Posting | ERP post failed — retry / recover |
Confirm dialog title matches that label. It shows Imported, Matches to update, Cleared outstanding, Exceptions, and Stmt Date.
Path A — no approver
- Balance the statement (variance ≈ 0).
- In Recap, click Post Reconciliation.
- Read the confirm dialog (posts immediately because no approver is assigned) → confirm.
The statement moves toward Posted / closed on the account card.
Path B — with approver
Preparer
- Balance the statement.
- Click Submit for Approval → confirm. This locks the current reconciliation state and routes it to the approver.
- Status becomes Ready for Approval (badge on the statement / workbench).
Approver (must be the assigned user)
- Open the statement.
- If you are not the approver, you see that only the assigned approver can finish posting.
- Click Post Reconciliation → confirm.
Non-approvers cannot post while the statement is waiting for approval.
Finish or retry posting
| Situation | Action |
|---|---|
| Posting in progress / waiting for ERP finalize | Finish Posting — completes recovery without re-posting when the ERP already finished |
| Post failed | Retry Posting — retries ERP posting / recovery |
Use Refresh on the workbench if status looks stale. While post-ready batches are locking the workbench, Outstanding may stay disabled until you finish posting or close that post-ready work.
Post created CM batches
If you used Create Transactions earlier, review batches in Post Transactions:
- Confirm each batch shows Ready to post (CM Outstanding Entry Batch or CM Transfer Batch).
- Click Post Transactions, or Close to return to the workbench and post later.
Created batches can also be managed from Batch Management if you leave them open.
After posting
- Statement appears under Closed Statements on the account card.
- Matching edits are locked for that statement.
- Open a new period with + (Create statement) on the account — do not reopen matching on a posted statement.
