Balance AP, AR, and JC to the GL

Compare Accounts Payable, Accounts Receivable, and Job Cost subledger balances to their general ledger control accounts for a company and month.

Prerequisite: Select a team. Pick a company to load balances.


Load balances

  1. Open Subledger Balancing on the Summary tab.
  2. Select Companies (one company to load AP / AR / JC).
  3. Set Month.
  4. Click Refresh Balances after Vista activity changes.

The page copy: compare AP, AR, and Job Cost subledger balances to their GL control accounts.


Read Summary cards

Each bucket card shows mapped GL accounts, subledger vs GL balances, and variance.

Use card actions to edit mappings, export detail, or investigate when variance is material.


Map GL control accounts

  1. Open Edit GL Accounts for the bucket (dialog title may show the bucket name).
  2. Search GL accounts (Search GL accounts...) and check the accounts that roll into that subledger bucket for the company.
  3. Click Save Mappings.

Mappings save immediately. Wrong maps produce false variances.


Sync GL Accounts

Click Sync GL Accounts when the available GL account cache is stale or after chart changes. This refreshes default/available accounts for mapping (requires permission to manage mappings).

Then re-check mappings and Refresh Balances.


Before close

  1. Confirm AP, AR, and JC are in balance (or explain remaining variance) for the close month.
  2. Fix open batches and coding issues that feed the variance.
  3. Proceed to Month End Close only when the Summary story matches what controllers expect.
