Build Roles and Duties
Use Role & Duty Builder to create and maintain the roles and duties your team will assign permissions to.

Roles vs duties

Duties do not replace roles. You build duty permissions, assign duties to roles (and/or set role-level custom security), then assign users to roles on User Roles.
Open the catalog
- Open Role & Duty Builder.
- In the left Security panel, use Roles or Duties to switch lists.
- Use the search box (
Search roles.../Search duties...) to filter the list. - Click a name (or row menu → Open) to select it and start an editing session.
Roles show a small security-group badge with the Forms group number when one is set.
Session warning: Selecting another role or duty ends the previous working session (cancels unsaved permission work for that subject). Use Save Changes in the main panel before switching if you edited permissions.
Import standard roles
- On the Roles tab, click + (Add Role).
- In New Role, stay on the Standard tab.
- Search or use Select all, then switch on the roles to import.
- Click Import.
Already-imported standards are skipped (toast: No roles imported when nothing new was added).
Create a custom role
- Click + → New Role → Custom.
- Enter Role Name (max 23 characters for export; the UI shows a character counter and blocks longer names).
- Enter a unique security group block:
- Forms Security Group
- Reports Security Group
- Attachments Security Group
- Optionally enter Description.
- Click Create.
Changing the Forms value auto-fills Reports as Forms+1 and Attachments as Forms+2 until you edit those fields yourself. Values already used by another role show Already in use; Create stays disabled until conflicts are cleared.
Import standard duties
- Switch to Duties, click + (Add Duty).
- In New Duty, stay on Standard.
- Select one or more duties (or Select all).
- Click Import.
Create a custom duty
- Duties → + → New Duty → Custom.
- Enter Duty Name and optional Description.
- Click Create.
Custom duties start with no permissions until you set them (next guide) or copy security from another duty.
Row actions
Open the ⋯ menu on a role or duty:

Edit Details
- Role (Edit Role: …): change Role Name, security groups, and Description, then Save. The role’s current security group numbers are allowed; other in-use numbers still conflict.
- Duty (Edit Duty: …): change Duty Name and Description (optional), then Save.
Duplicate
Use when you want a new role or duty that starts from an existing one’s security.
- ⋯ → Duplicate.
- In Duplicate Role / Duplicate Duty, set the new name (default is
Name (2)). - For a role, assign a free security group block (the dialog prefills the next available triplet) and optional description.
- Click Create.
DAM opens the new item in an editing session after create. Duplicating cancels any prior unsaved working session first.
Copy Security
Use when the target role/duty already exists and you want to overwrite or fill its Forms / Reports / Attachments security from a source.
- On the source row: ⋯ → Copy Security.
- Confirm From Role / From Duty.
- Under Copy Scopes, enable Forms, Reports, and/or Attachments.
- Optionally leave Overwrite existing custom security on (default).
- Select Target Roles / Target Duties (or Select all).
- Click Copy.
Copy Security does not create new roles or duties and does not change security group numbers.
After the catalog exists
- Set permissions: Set form, report, and attachment permissions.
- For multi-role edits, use Edit permissions across many roles or duties.
- Assign users and push to Vista per the D.A.M. Security Manager workflow.
