Import and Match a Bank Statement
Create a statement for a saved bank account, import the file with the account’s default template, then match and clear until the Recap variance is zero.

Requires a saved account and default import template — see Set up bank accounts and import templates. When variance is zero and you are ready to submit or post, see Approve and post bank reconciliation.
Create and import a statement
- On the account card, click + (Create statement).
- In Create Next Statement:
- Set Statement Date.
- Enter Statement Balance.
- Choose a Statement File (CSV, TSV, TXT, or XLSX).
- Click Import Statement.
The statement opens in the workbench. If zero rows import, you may see Create a bank import template? — fix or create a template that matches the file, then retry (edit the statement and upload again, or create a new statement after assigning the template).
To change balance or append more rows on an open mutable statement: from the account card, edit the open statement → Edit Statement → update Statement Balance and/or Import File → Save Changes. Statement date is fixed after create.

Goal: get Variance to 0 (Working equals Statement balance) before submit/post.
Editing is available while the statement is still in review and not posted. Closed/posted statements are read-only for matching.
Auto-match imported rows
On the Statement tab:
- Optionally filter with Search, Status, and Type.
- Click Auto-Match (needs both imported rows and outstanding rows; disabled when the statement is not editable).
- Use Refresh after Vista or match changes. Use Export for the visible grid.
Matched rows show a link to outstanding activity under Linked To. Wrong matches: unlink (see below) and match again.
Manual link
- On Statement, select an unmatched imported row for linking (Link outstanding entry).
- On Outstanding, select the matching outstanding entry (Link imported row).
- Confirm in Confirm manual link? → Confirm Link.
To undo: unlink → Remove bank reconciliation link? → Remove Link.
Delete a bad imported row (when allowed): Delete imported row? → Delete Imported Row.
Clear outstanding without a bank match
Use when CM items should clear even if they are not linked to an imported row (or after you select cleared items explicitly):
- Open Outstanding.
- Select one or more rows (selection bar shows Selected Total).
- Click Apply Clear (or Clear Selection to deselect without clearing).
Filter Outstanding with Search, Status, Type, and Source as needed.
Create CM transactions for unmatched bank activity
When the bank file has activity that is not yet in Vista outstanding:
- On Statement, select unmatched imported row(s) for create.
- Open the Create Transactions panel.
- For each row, choose CM Outstanding Entry (needs a GL account) or CM Transfer (needs a destination CM account).
- Click Create Transactions.
Created batches are posted later with the reconciliation posting flow — see Approve and post bank reconciliation.
When you are ready to finish
Use the Recap sidebar:
- Variance must be in balance (near zero) or the primary action stays disabled (“The reconciliation must be in balance before continuing.”).
- Primary action label depends on approver and status (Submit for Approval, Post Reconciliation, etc.) — covered in the posting guide.
Do not treat a non-zero variance as ready to post. Finish matching, clearing, or creating transactions first.
