Configuring PM Status IDs

PM Status IDs creates and maintains status codes used to track change orders, submittals, RFIs, and other PM documents, and to support reporting (for example RFIs that are not Final). Example codes: PENDING (PCO items being estimated), SUBMITTED (awaiting owner final approval), CANCEL, REJECT, APPR (owner approved, not yet processed), CMPLT (approved and processed).

Before you start​

  • Know beginning / intermediate / final statuses for each document flow.
  • For PCO projection behavior: also configure PM Document Types Include in Cost Projections and PM Company Parameters Default Final Status.

Steps​

  1. Open PM Status IDs (Project Management → Programs → PM Status IDs).
  2. New Record.
  3. Enter Status Code (up to 6 characters) and Description (up to 30).
  4. Set Projections Option (procedure may label this Project Options):
    • (none) — exclude from JC cost/revenue projection calc; not in JC Projection Future CO / JC Revenue Future CO; excluded from Future CO and Included CO amounts in JC Cost / Revenue / Override Projections.
    • Display in Projections — show in those Future CO forms and Future CO columns only; not in Included CO; not in calc.
    • Display & Calculate in Projections — show and include in calc; amounts in both Future CO and Included CO.
  5. Set Type of Code: Beginning, Intermediate, or Final (reporting; auto-approval of a PCO assigns the first Final code; copy meeting minutes can include/exclude Final items).
  6. Check Active for All Forms if the ID applies to every document category; otherwise leave unchecked and set Document Category (only that category can use the code; other F4 lists hide it).
  7. Optionally check Exclude From Lookups (hidden from F4 status lookups but still typeable; still appears on this form’s All Status Codes lookup).
  8. Save.

Hard rules​

  • A PCO is included in projections only if both the document type’s Include in Cost Projections is checked and the status Projections Option is Display or Display & Calculate. Document type included + status (none) → PCO does not appear in Future CO forms or Future CO / Included CO amounts.
  • A PCO can receive a Final status even when not approved (for example Rejected typed as Final).
  • PM Pending Change Order Form print includes PCOs with a Final status unless that code is Default Final Status in PM Company Parameters.
  • Document Category Submittal - OLD = PM Submittals - 6.5 only. Submittals = PM Submittal Package (packages) and PM Submittal Register (revisions).

Notes​
