Configuring PO Shipping Locations

PO Shipping Locations creates and maintains shipping addresses assigned to purchase orders (yard or ship-to). Enter the location code on a PO to default the Shipping Address tab; you can override the address on the PO and add special shipping instructions there. The address prints in the Ship To section on the Purchase Order Form (and PO Form with Change Order).

You do not need one shipping location per job.

Before you start

• Tax codes exist in HQ Tax Codes (if you will assign a location tax code).
• States exist in HQ States; countries in HQ Countries.
• Company Default Country is set on HQ Company Setup → Info (help once says “Default County” — treat Default Country as correct).

Steps

1. Open PO Shipping Locations (Purchase Orders → Setup / Costs and Contracts → Purchase Order → Setup and Maintenance).
2. Enter Shipping Location — unique code, up to 10 characters. This is the code entered on the PO.
3. Enter Description (up to 30).
4. Optionally enter Tax Code (F4 from HQ Tax Codes). Defaults only when entering non-job lines in PO Purchase Order Entry — not a general tax default for all PO lines.
5. Enter Address, City, and Zip.
6. Enter State (type or F4 from HQ States). If Country is blank, the state is validated against the active company’s Default Country.
7. Optionally enter Country (F4 from HQ Countries). Leave blank when the location is in the company’s Default Country.
8. Optionally enter Additional Address (up to 60 — for example “Bldg 1, Suite 250”). Prints in Ship To on the PO forms.
9. Save.

Hard rules

• No company-wide “default location” flag and no job or inventory link on this form — “default” means the code supplies the PO’s ship-to when selected.
• Tax code applies to non-job PO lines only.
• Special shipping instructions are entered on the PO, not on this form.
• Requisitions are not mentioned on these help pages.
