Delivering MS Invoices

MS Invoices finds material sales invoices and delivers several at once — first delivery or redelivery — by email or postal mail through MS Invoice Delivery. Create and edit invoice content in Editing MS Invoices.

Menu: Material Sales → Programs → MS Invoices.

Before you start​

  • Invoices exist (built/edited in MS Invoice Edit).
  • Default invoice layout: Invoice Report on the Material Sales tab of AR Customers (only setup named on the Deliver topic). Email From/Subject/Body live on MS Company Parameters Email Settings — configure those if you deliver by email (not restated on the Deliver pages).

Steps​

  1. Open MS Invoices.
  2. Set Delivery Status: A-All, D-Delivered (redeliver), or N-Not Delivered.
  3. Set Payment Type: A-On Account, C-Cash, or X-Credit Card.
  4. Optional filters: Customer (active; F4), Customer Job (F4 = MS Invoice customer jobs), Customer PO (F4), Invoice (F4).
  5. If status is All or Delivered, set Delivery Date From/To (invoices delivered on/after From and on/before To). Field defs enable dates for All or Delivered; the procedure says use dates when showing Delivered; the form overview frames dates mainly for redelivery.
  6. Optionally check Print Notes? (include notes on the invoices).
  7. Click Search to fill the grid.
  8. Select invoices with Select All or per-row Select.
  9. Click Deliver — MS Invoice Delivery opens.
  10. Review/edit recipients and attachments per invoice.
  11. Click Deliver again. Invoices go to the recipients designated on each invoice.

Hard rules​

  • On MS Invoice Delivery you may only edit recipients and add attachments. You cannot edit invoice data or remove invoices from the list. Edit content in MS Invoice Edit. To drop an invoice from the run, close MS Invoice Delivery, reselect on MS Invoices, then Deliver again.
  • Invoices with no detail lines: a message lists them. Yes continues (they may be skipped or sent empty). No cancels so you can review.
