HR Update Benefit/Salary to PR
HR Update Benefit/Salary to PR is the HR program that prepares benefit and/or salary changes for Payroll and processes them as an HR batch. It is the only HR program that posts through the batch process. Selection criteria control who and what enters the batch; then you validate, review, and post.
Salary and benefits do not sync online from HR Company Parameters — they update only when you run this program and process the batch. (Other PR Update Options on company parameters sync online both ways.)
Before you start
- Check Post Salary to PR and/or Post Benefits to PR on this form (at least one is required).
- For benefits: on HR Resource Benefits, Update to PR (also called Update PR) is checked; the benefit is active and has an effective date; Ready Y/N is checked for the deduction, liability, and/or earnings codes on the benefit that should go.
- Resource exists in PR: Exists in PR is Y on HR Resources with PR Co# and PR Empl # assigned (form text also says employee must have a valid PR employee number).
- Benefit codes exist in HR Benefit Codes with Update PR on when you want them eligible.
- You are working in the correct active HR company (resource is validated against it).
Steps
- Open HR Update Benefit/Salary to PR (HR and Payroll → Human Resources → Benefits).
- Choose selection:
- All employees, or
- Restrict by Employee using HR Resource # or PR Employee #. If PR Employee #, enter PR Co# (disabled when restricting by HR Resource #).
- Check Post Salary to PR and/or Post Benefits to PR.
- Optionally Restrict by Benefit Code (enabled only when posting benefits) and enter the benefit code — only employees with that code load, and Update to PR must be on for the benefit.
- Enter Effective Date — only salary/benefit changes effective on or before this date are included.
- Click Update to load the grid. Adjust criteria and Update again as needed.
- Review the grid: employee and resource numbers, name, benefit vs salary update, benefit code/description, add vs change.
- To drop one resource from the batch: enter HR Resource # and Remove. Cancel clears the entire batch after Yes/No confirm.
- Click Post to open HR Batch Process, then validate/review/post the batch as usual.
What gets excluded
- No valid PR employee link (Exists in PR / PR Co# / PR Empl #) — excluded even if salary or benefits changed.
- Benefits without Update to PR checked — skipped.
- Neither Post Salary nor Post Benefits selected — cannot proceed.
- Changes with effective dates after the form Effective Date — not included.
