Managing AR Credit Notes
:::caution Non-posting tracker AR Credit Notes tracks conversations and follow-ups about a customer's account (disputes, overdue payments, and similar). Information entered here is not used by AR posting programs and does not post to AR or GL. To issue an accounting credit, use AR Invoice Entry transaction type Credit Memo (or Adjustment / Write-Off as appropriate), then optionally record the conversation here. :::
Use this form when the company wants formal dispute/follow-up tracking. Otherwise skip it in Phase 1 core setup.
Before you start
- Know whether the note is invoice-specific or customer-level.
- Have contact name/owner and a follow-up date for open items.
- If an accounting credit is required, post the Credit Memo (or Adj/WO) first so the tracker can reference the real invoice.
Steps
- Open AR Credit Notes.
- Enter the customer.
- Invoice is optional:
- Leave blank for customer-level notes
- Enter a valid AR invoice number for invoice-specific notes
- Enter summary, contact/owner, follow-up date, and detail notes. Prefer always filling Follow-up Date and Contact/owner for open items. The form records the user who added the note and the creation date.
- Check Resolved when the matter is closed; leave unchecked while open.
- Use the Customer Notes tab when you need notes that also update AR Customers (editable from either place).
- Review unresolved notes on a cadence before month-end. Use the AR Customer Credit Notes / AR Customer Notes report (filter unresolved vs all; sort by note date or follow-up date).
Notes
- Do not confuse this tracker with posting Credit Memos in Invoice Entry.
- Specific, searchable summaries make later review easier.
