Managing Employee Deductions and Liabilities

The PR Employee Deductions and Liabilities form is used to manage and track all deduction and liability codes associated with employees. This ensures that all necessary deductions are calculated during payroll processing, maintaining compliance and accuracy in employee compensation.

Before you start

  • Knowledge of applicable deduction and liability codes for employees.
  • Ensure all employee-specific deduction and liability codes are set up in the system.

Steps

  1. Access thePR Employee Deductionsand Liabilities form.
  2. Review the list of employees and their associated deduction and liability codes.
  3. Use the frequency column to inactivate codes that should not be processed.
  4. Track arrears for deduction codes if an employee misses time cards in a pay period.
  5. Ensure all federal and state filing statuses are correctly entered.
  6. Open thePR Employee Deductionsand Liabilities form.
  7. Review the list of all employees and their associated deduction and liability codes.
  8. Use the frequency column to inactivate codes by selecting the 'I' or inactive frequency code.
  9. To track arrears, ensure the arrears option is enabled for deduction codes.
  10. If an employee misses time cards, the arrears will track missed deduction amounts for future pay periods.

Notes

  • Inactive codes should be reviewed periodically so they are still relevant.
  • Ensure arrears tracking is correctly set up to avoid missed deductions.
  • Inactivating codes does not delete them; they remain for reference.
  • Ensure arrears tracking is only enabled for deduction codes.
