Managing Employee Leave
PR Employee Leave assigns leave codes (PTO, sick, and similar) to an employee and optionally overrides the standard settings from PR Leave Codes. Use this form for employee-level eligibility and limit exceptions; use PR Leave Entry for period accruals and usage batches.
Before you start
- Leave codes exist, are Active, and match the accrual type (fixed vs rate), units, resets, carryover, and warning behavior you need.
- The employee exists in PR Employees.
- You know the eligible date for each leave type and whether the employee should inherit leave-code defaults or need overrides.
- Group-level leave tracking needs (if any) are already set on PR Groups.
Steps
- Open PR Employee Leave.
- Select the employee.
- Associate each leave code the employee can use (for example PTO or sick). Codes must be Active before assignment.
- Enter the eligible date for each leave type so accruals and usage start on the correct date.
- Decide whether to keep the leave-code defaults or override them for this employee.
- When overriding, use the employee override fields for accruals and limits:
- Fixed accrual overrides (weekly and/or annual amounts as your code uses).
- Accrual limit number one and balance limit when the employee cap differs from the code.
- Accrual limit number two for weekly and annual accruals when that second limit applies.
- Save. Confirm the employee appears correctly before the next PR Leave Entry initialization for the group.
Notes
- Prefer changing the leave code when many employees share the same rule. Use employee overrides only for true exceptions so compliance stays consistent.
- Deactivating a leave code that still has employee balances needs employee-level cleanup; do not retire codes while assignments and balances remain.
- Warning behavior (Allowed with Warning / Allowed without Warning / Not Allowed) is defined on the leave code; employee overrides of limits still interact with that warning setting at usage time.
