Managing HR Employment Status

HR Employment Status (also called HR Status Codes on HR Resources field help) defines the employment status codes you assign on resource records — for example Applicant, Employee, Maternity Leave, Retired. This is a separate form, not an HR Codes type.

A status code does not set Active/Inactive, hire date, or term date. Those live on HR Resources and sync to Payroll only when the matching HR Company Parameters PR Update Options are on.

Before you start​

  • If you will check Update Employment History, create the History Code first in HR Codes with Type H (History).
  • Agree on a short, unique code list for reporting and filters (avoid two codes that mean the same thing).

Steps​

  1. Open HR Employment Status (HR and Payroll → Human Resources → Setup/Maintenance).
  2. Enter Employment Status Code (up to 10 characters), for example APPL, EMPL, MED, MAT, RET.
  3. Enter Description (up to 30 characters).
  4. Optionally check Update Employment History. When checked, adding or removing this status on a resource writes an employment history (HREH) record.
  5. If Update Employment History is checked, enter History Code (HR Codes Type H) — the field is enabled only when the checkbox is on.
  6. Save. Assign the code on HR Resources Employment Status (required).

How status interacts with resources and Payroll​

  • On HR Resources, Employment Status is required. If the code is flagged Update Employment History and has a valid Type H history code, add/remove of the status creates an employment history row (alongside Position Code and Termination Reason history rules).
  • Active PR Employee, Hire Date, and Term Date on HR Resources sync to PR Employees only when Company Parameters PR Update Options (Active Flag, Hire/Term Date) are checked and the HR↔PR link exists (Exists in PR = Y). The status code itself does not drive those fields.
  • Term Reason uses HR Codes Type N (Reason), not Type H.
  • Inactive with no term date, or term date while Active is still Yes, prompts a save warning (Yes can still save). Setting inactive when auto earnings exist can delete auto earnings from PR only, not from HR.
