Managing HR Resource Dependents

HR Resource Dependents sets up and defines employee dependents. Dependent information is used in benefit tracking (health insurance, life insurance, COBRA, and similar). Open it from HR Programs, or from HR Resources → Dependents (double-click a row, or select the line and Records → Open Related Record in Form).

There is no numbered add/edit procedure in Trimble help. These pages do not document student, smoker, or benefit-eligibility flags. HR Resource Benefits uses Dependent Seq # 0 for the employee and non-zero sequences from this form for dependents — that link is documented on Resource Benefits, not on these dependent pages.

Before you start​

  • Resource already exists in HR Resources.
  • Optional: check Dependents under Employment History Event Options in HR Company Parameters if dependent changes should write employment history.
  • States exist in HQ States. Know company Default Country (help cites HQ Company Parameters for State validation and HQ Company Setup for Map fallback).

Steps​

  1. Open HR Resource Dependents, or launch it from HR Resources → Dependents.
  2. Enter Resource # (disabled when opened from HR Resources).
  3. Enter Dependent Seq # (1–9999), or type N, New, or + to assign the next sequence automatically.
  4. Enter name: Last (30), First (30), Middle (15), optional Suffix (4 — for example Sr., Jr., III).
  5. Enter Relationship as free text (up to 30) — for example spouse, son, daughter, parent. Not a coded lookup.
  6. Enter Birth Date and Social Security # (dashes are added automatically if omitted).
  7. Enter Gender Identity: M-Male, F-Female, X-Non-Binary, or O-Other. Choosing O-Other enables an unlabeled Description (for example Agender, Androgyne, Bigender). Enter Reporting Gender as male or female.
  8. Enter Address (60), City (30), State (HQ States), Zip (12), Country (2 characters), Phone (20), and Work Phone (20).
  9. Optionally use Map on address fields (login default map site from User Options; blank Country uses Default Country).
  10. Save. To edit later, reopen the dependent from the Dependents tab.

Hard rules​

  • Resource # is locked when launched from HR Resources.
  • Invalid State shows an error but entry is still allowed — then enter a Country valid for that state in HQ States.
  • Country is required when the address is outside Default Country.
  • Employment-history logging for dependent changes only runs if Dependents is checked in HR Company Parameters.
  • AU/CA: none. SSN is labeled Social Security Number only (no SIN or country-specific rules on these pages).
