Managing HR Resource Salary History

HR Resource Salary History sets up and maintains dated salary and/or position changes for an employee. Open it from HR Programs under Applicants/Resources → Talent and Performance, or from HR Resources → Salary History (double-click a line, or select the line and Records → Open Related Record in Form). It is not under Resource Setup/Maintenance in the help sidebar.

Each row is keyed by effective date so you can track salary and position adjustments over time. There is no frequency field on this form.

Before you start

  • Resource exists in HR Resources.
  • Reason codes exist in HR Codes as Type N (Reason).
  • Position codes exist in HR Position Codes if you will change position.
  • Optional: check Salary under Employment History Event Options in HR Company Parameters to track salary changes in employment history (not required just to save a row).

Steps

  1. Open HR Resource Salary History, or launch it from HR Resources → Salary History.
  2. Enter Resource # if enabled (disabled when opened from HR Resources).
  3. Enter Effective Date — date of the salary/position adjustment. If history already exists, it defaults to the most recent salary-history date. F4 lists dates for the resource.
  4. Set Salary/Hourly (salary vs hourly basis).
  5. Enter the new amount one of two ways:
    • Uncheck Calculate?, then type New Salary/Rate, or
    • Check Calculate? and leave New Salary/Rate blank so the Salary Reasons grid recalculates it from % increases (typed New Salary/Rate is not saved when Calculate is on).
  6. Optionally set Position (defaults from HR Resources) and Next Salary Review Date.
  7. On the Salary Reasons grid, enter Reason Code (Type N) and % Increase per sequence. Seq is system-assigned. With Calculate off, grid percents are informational (first row can default the total %); with Calculate on, each sequence recalculates New Salary/Rate including prior sequences. Total % Increase appears beside New Salary/Rate.
  8. Save. If Position changed (or was cleared), answer Update Position Code in HR Resources? — Yes updates HR Resources; No leaves the resource position as-is (you can change it later on HR Resources).

Hard rules

  • Resource # is locked when launched from HR Resources.
  • Old Salary/Rate is display-only (current salary/rate as of Effective Date).
  • Effective Date older than the current salary effective date: warning, historical row can still save. That historical information does not update to PR and does not change the current salary.
  • Calculate off + grid % that do not sum to Total % Increase: fix the grid or turn Calculate on.
  • Effective Date defaults to the last history date — a new row can look like an edit of the latest date if you do not change it.

Payroll update

These Salary History help pages do not describe posting current salary to Payroll or a “salary not online” company parameter. Elsewhere in HR help, salary (like benefits) is pushed with HR Update Benefit/Salary to PR (Post Salary) for eligible resources linked to PR — use that program when you intend to update Payroll. Historical (back-dated) rows are explicitly non-PR on this form.
