Managing PM Project Firms
PM Project Firms assigns specific firms and contacts to a project. Those records feed lookups and Create and Send distribution lists for submittals, change orders, daily logs, and other project documents.
Before you start
- Firms exist in Setting Up PM Firms.
- Contacts exist in Managing PM Firm Contacts.
- Destination project already exists.
Steps — add firms and contacts
- Open PM Project Firms.
- Enter the Project.
- Enter each Firm (number or F4; sort name from PM Firms also works) and Contact (from PM Firm Contacts; type leading sort-name characters and Enter for closest match).
- Optional Description (up to 30 characters).
- Set Email Option — default for how Cc is set when this contact is added to a Create and Send distribution grid: None (primary, not usually Cc/Bcc), Cc, or Bcc.
- Save. Title, email, phone, and similar display from PM Firm Contacts.
Inactive (documented on the form overview, not on Field Definitions) mirrors Exclude from Lookups on the contact in PM Firm Contacts — when that is checked there, Inactive is selected here.
Contacts may also appear on this form as you reference them on subcontracts, POs, and change orders; use this form to keep the project address book complete.
Steps — copy from another project
- On PM Project Firms, enter the destination project (F4).
- File → Project Firms Copy (opens PM Project Firm Copy; help also says “Project Firms Copy”).
- Enter Source Project. The grid lists only firms/contacts not already on the destination.
- Select rows (Shift for a range, Ctrl for specific) → Copy. A message reports how many were added.
Notes
- Changing Email Option / distribution defaults does not rewrite the current document — only new Create and Send documents. Use distribution groups for recurring recipient sets (e.g. submittals).
