Managing VA Scheduled Changes

VA Scheduled Changes schedules a future value for a field so Vista applies it on the effective date (example: PR Employees Address). Form help: About the VA Scheduled Changes Form. Procedure: Schedule Data Changes for Fields. There is no help slug managing-va-scheduled-changes.

Two entry paths:

  • Field shortcut: right-click a field → Scheduled Changes → VA Scheduled Changes to enter that field’s new value and effective date.
  • Admin (VA Programs): open VA Scheduled Changes from the Main Menu to monitor all changes and adjust.

The form shows new value, who created it, created date/time, applied date, status (Pending / Applied / Error), and status messages.

Before you start​

  • Schedule the field change before you rely on the job.
  • Changes process daily at one server Process Time. Set it so it does not collide with backups or other jobs: on the Viewpoint Server, Start → Programs → Viewpoint Construction Software → Configure Remote Service → Scheduled Changes → Process Time → OK.
  • Admin lookup fields (Form, Field, Key ID to Update, Key Fields) are available only when opened from VA Programs, not from the field shortcut.

Steps — schedule from a field​

  1. Right-click the field → Scheduled Changes → VA Scheduled Changes.
  2. Enter Effective Date (or use the Calendar). After save, the date cannot be changed.
  3. Tab off Effective Date so New Value enables.
  4. Enter New Value. On tab-off or save, format is validated; overflow is truncated (example: 70 characters into a 60-character address becomes 60).
  5. Save. The field updates on the effective date at the daily Process Time.
  6. Before that date, right-click the field again to edit New Value only.

Steps — admin lookup and monitoring (VA Programs)​

  1. Open VA Scheduled Changes from VA Programs.
  2. Use search-only fields (they cannot take new scheduled values here):
    • Form (F4) → focus moves to Field.
    • Field (F4, fields that already have changes) → focus Effective Date.
    • Effective Date (F4 other dates for that form/field) → focus Key ID to Update.
    • Key ID to Update (F4 key IDs for that form/field/date).
  3. Key Fields shows the source record’s keys (example: HR Resources company 1, resource 65 → HRCo = 1, HRRef = 65) so you can find the exact record.
  4. After the job runs: Applied On + Update Status Applied if successful; Error + Update Message if not. Re-add using Key Fields as a guide.

Hard rules​

  • One daily job at one Process Time on the Viewpoint Server.
  • Effective Date is locked after save. Wrong date: create a new scheduled change (and delete the old one; monitoring says delete first, then add from the source form).
  • Edit New Value only before the effective date. After the date passes, the change is applied and the VA row can only be deleted.
  • Form / Field / Key ID to Update are search-only and only from VA Programs.
  • Online field defs do not document Update Status, Update Message, Applied On, or Key Fields even though About the form lists them.
