Setting Up AP Vendors

Use AP Vendors to add and maintain vendors you pay in Vista. The same vendor master is used by AP, subcontracts, and purchase orders.

Before you start

  • Gather vendor name, addresses, payment terms, and bank details (for EFT).
  • Know whether the vendor is subject to 1099 reporting.

Steps

  1. Open AP Vendors.
  2. Enter vendor number, vendor name, sort name, and payment address.
  3. Complete payment terms and purchasing address if it differs from the payment address.
  4. On Additional Info, mark the vendor for 1099 if applicable. Assign 1099 type, box number, tax ID, and proprietor values as required.
  5. Indicate whether the tax ID is an SSN or EIN and enter the matching name fields.
  6. For emailed remittances, set method of payment info delivery to email with attachment or email as notification, and enter a valid email address.
  7. On Payment Info, choose CHECK or EFT. For EFT, enter routing and bank account details.
  8. On Additional Addresses, add any alternate payment addresses used during invoice entry or payment batches.

Notes

  • Keep compliance status current so payments are not blocked unexpectedly.
  • Incorrect tax ID or 1099 setup causes year-end reporting errors.

Tips

  • Prefer consistent naming and sort names to reduce duplicates (see Merging AP Vendors).
  • Use email payment info delivery for ACH remittances when vendors expect electronic advice.
