Setting Up HQ Insurance Codes

HQ Insurance Codes is the master file of workers' compensation and general liability insurance code IDs used in Vista payroll. Actual rates, linked deduction codes, and liability codes are defined separately in PR State Insurance Codes on a per-state, per-code basis.

Before you start

• Complete HQ Insurance Codes setup first.
• Then define rates and linked codes in PR State Insurance Codes for each state and insurance code combination.
• Optionally configure JC Insurance Templates for phase-based workers' comp or set employee default insurance codes.

Steps

1. Open HQ Insurance Codes.
2. Enter each insurance code ID and specify whether it is workers' compensation or general liability.
3. Save the codes—no rates or state assignments are made on this form.

The insurance state for employees is determined through PR Company Parameters based on the job state, SM work-order state, or resident/employee settings—not by assigning states directly in HQ Insurance Codes.

Notes

• JC Insurance Templates are used for phase-based workers' comp when insurance-by-phase (or SM work order scope) is enabled. Otherwise, the employee's standard insurance code applies.
• After defining codes here, configure rates and linked deduction/liability codes in PR State Insurance Codes before processing payroll.
• Stale or missing state insurance rates cause incorrect insurance accruals.
