Setting Up HR Hiring Locations

HR Hiring Location Setup creates hiring locations you assign to employees on HR Resources (Other Info → Hiring Location; F5 opens this form). Multi-establishment federal contractors should create one record per physical hiring location for VETS-4212 reporting.

This form has no tax jurisdiction, GL account, or default-location flag. Applicants are not mentioned in Trimble help for this form.

Before you start​

  • States exist in HQ States.
  • Know company Default Country (help cites HQ Company Setup for State validation and HQ Company Parameters for Country).
  • Company DUNS and NAICS on HQ Company Setup are used when location overrides are blank.

Steps​

  1. Open HR Hiring Location Setup (HR and Payroll → Human Resources → Setup/Maintenance), or press F5 from Hiring Location on HR Resources → Other Info.
  2. Enter Location ID — unique identifier. Stored for assignment; does not print on the VETS-4212 report.
  3. Enter Name — prints on VETS-4212 when at least one resource is assigned to this location and that employee has timecard/time records in the report period.
  4. Enter Address 1, optional Address 2, City, Zip, County (same VETS print rule as Name).
  5. Enter State — must be valid in HQ States for the company Default Country; F4 lookup. Invalid state/country combination errors until Country is corrected. Prints on VETS-4212 under the same employee/timecard rule.
  6. Enter Country (2 characters) when the state is outside Default Country. Must be valid for that state/province/territory in HQ States. Does not print on VETS-4212.
  7. Optionally enter DUNS Number (9 digits) and/or NAICS Code (up to 6 digits) to override company values from HQ Company Setup. Blank = use company DUNS/NAICS. Overrides appear on VETS-4212 e-file export and HR Federal Contractor VETS Resources (view/print).
  8. Save. Create one record per hiring location. Assign the Location ID on HR Resources → Other Info.

VETS reporting rules​

  • Help body once says “Vets-4214”; field definitions and the form note use VETS-4212 — treat VETS-4212 as correct.
  • Name, address, and State appear on VETS-4212 / VETS Resources only if at least one resource is assigned and that employee has time/timecard records in the launcher period.
  • Location ID and Country are stored but not printed on VETS-4212.
  • DUNS/NAICS field text does not restate the employee/timecard gate; still assign resources and ensure time exists for the period.
