Setting Up HR Position Codes
HR Position Codes sets up one code per company position. The Info tab holds title, description, salary range, exempt type, openings, and org-chart fields. Other tabs hold qualifications, training, and performance ratings. This is a separate program from HR Codes (skill, training, and rating codes are Type S, T, and R there).
Assign the position on HR Resources — the Employees tab here is view-only.
Before you start
- Create skill codes (Type S), training codes (Type T), and rating codes (Type R) in HR Codes before attaching them on the tabs.
- For bulk ratings: rating groups in HR Ratings Group (initialize with HR Initialize Performance Rating Groups / HR Initialize Rating Groups — help names vary).
- Optional: HQ Standard Notes for long descriptions.
Steps
- Open HR Position Codes (HR and Payroll → Human Resources → Setup/Maintenance).
- On Info, enter:
- Position Code (unique, up to 10) and Job Title (up to 30).
- Description (essentially unlimited; right-click standard notes and spell check available).
- Annual Salary Range Beginning / Ending — informational only (not a salary-grade control).
- Type: Exempt, Non-Exempt, or Union.
- Part-Time? — if checked, enter Part-Time Weekly Hours.
- Bonus Eligible? — if checked, enter Bonus % (percent of salary allowed for bonuses).
- Number of Open Positions and optional Closing Date (posting expire date).
- Position Contact, Contact Phone (20), Fax (20). About text mentions email; field definitions list phone and fax only — no email field.
- Advertised? and Mode of Advertisement (free text, for example newspaper or Internet).
- Reporting Level (up to 4 digits; informational — for example President = 1, VP = 2) and Report-to Position (for org charts).
- On Qualifications, add Skill Code (Type S) rows and check Required when the skill is required to attain the position (unchecked = preferred).
- On Training, add Train Code (Type T) rows and check Required when required to attain or maintain the position. Use HR Initialize Position Training Plan later to copy all training codes for a position onto an employee’s HR Resource Training.
- On Performance Ratings, add Rating Code (Type R) rows, or initialize from a ratings group (File → Initialize Performance Ratings / HR Initialize Performance Rating Groups). Sequence is system-assigned after you enter the rating code (display only).
- Save. Assign the position code on HR Resources. Review assignments on the Employees tab (Resource # and Active Y/N from the Active PR Employee flag on HR Resources — display only).
Hard rules
- Employees are not maintained on this form — assign positions on HR Resources.
- Salary range is informational only.
- Part-time hours and bonus % appear only when their checkboxes are on.
- Skill Required = attain; Training Required = attain or maintain.
- Help’s “Related Topics” pointer to HR Initialize Rating Groups may be missing on the page; field defs name HR Initialize Performance Rating Groups, and the sidebar sibling is HR Initialize Rating Groups.
