Setting Up HR Training Classes

HR Training Classes sets up and maintains training class instances and who attends them. The upper part of the form is the class; the lower part is registered resources. Training codes (Type T) are created in HR Codes; this form schedules one or more class sequences for each code. Open it under Human Resources → Applicants/Resources → Training (not Setup/Maintenance).

There is no certification-period or required-flag field on this form. Duration is tracked as Hours (and optional Class Time / Time Description). Provider-like data is Instructor, Institution, and optional 1099 Vendor.

Before you start​

  • Training Code exists in HR Codes as Type T.
  • Skill codes for the Skills tab exist as Type S.
  • If paying a 1099 instructor: vendor exists in AP Vendors.
  • States exist in HQ States; enter Country when the address is outside HQ Company Parameters Default Country.

Steps​

  1. Open HR Training Classes.
  2. Enter Training Code (Type T) and Class Seq (1–9999). One code can have many sequences (for example monthly sessions or morning vs evening).
  3. On Info, enter description, instructor, begin/end dates, Status (U / S / I / C / A / X — Unscheduled, Scheduled, In Progress, Complete, Absent, Cancelled), max attendees, Hours, CEU credits, cost, employee reimbursed, optional 1099 + vendor, and OSHA / MSHA / First Aid / CPR / Work Related flags as needed.
  4. On Location, enter institution, address, phone, email, room, and contact.
  5. On Skills, add Type S skill codes acquired in the class. When the class is completed and updated via HR Training Class Status, those skills write to HR Resource Skills.
  6. Register resources: add them manually, or use Register → HR Training Class Registration. New registrants default to status S-Scheduled (overridable). Resources can also arrive from HR Resource Training.
  7. Update class and/or resource status manually, or Update → HR Training Class Status (updates the class and all registrants except resources whose status was already changed manually). Date Complete on a resource is available only when that resource’s status is C-Complete.
  8. Optionally Records → Copy Training Class to create a new sequence of the same training code — copies class data but not registered resources.
  9. Filter the grid with Show (Open = not Complete, or All) and optional begin/end date range.

Hard rules​

  • Class setup is Training Code + Class Seq, not the Type T code alone.
  • Bulk status update skips resources you already changed manually.
  • Copy does not bring attendees along — re-register them.
  • Help defines Hours as both credit hours on completion and total hours to complete the class.
  • Two fields are both labeled End Date in help (class header vs grid filter) with swapped definitions — use the filter pair as “begin date ≥ / end date ≤” for the grid, and the header pair as the class’s actual start/end dates.
