Setting Up SM Call Types

SM Call Types sets up and maintains call types that identify/classify service work (item, scope/classification, or accounting treatment). Form purpose also ties them to capturing calls in SM Call Handler. After setup, assign call types to SM Service Centers, SM Divisions, and/or SM Work Orders.

Call types are required before posting work completed to a scope. You can create a work-order scope without one, but you cannot post work completed lines until a call type is set. Create as many as you need.

Before you start​

  • SM Call Type Categories — required on each call type (F4 lookup / F5 opens the category form). Categories also drive Dispatch Board coloring via the call type of the first open scope.

Steps​

  1. Open SM Call Types (Service Management → Programs → SM Call Types).
  2. Enter Call Type (number or code, up to 10 characters) — e.g. HVACRepair, ELECTRICAL, WARRANTY, AHService, COMMain, RESMain.
  3. Enter Description (up to 60 characters).
  4. Enter SM Call Type Category (F4 / F5). Procedure help mistakenly says F4 selects “valid call types”; field defs correctly say Call Type Category Lookup.
  5. Set Track WIP:
    • On — work completed updates Cost WIP; billing updates Revenue WIP unless the scope is closed (then Revenue). Closing the scope moves WIP to Cost and Revenue.
    • Off — Cost and Revenue only; Cost WIP and Revenue WIP unused.
  6. Set Active — on = available for service centers, divisions, work orders, and call-type lookups. Off = excluded from F4 and cannot be assigned.
  7. Optionally set Prevent Scope Auto Close when Billing (Info tab):
    • On — fully billed scopes stay open even if SM Company Parameters Auto Close Work Order on Final Bill is selected; close manually.
    • Off + company auto-close on — scope auto-closes when fully billed.
    • If company auto-close is off, close is always manual regardless of this checkbox.
  8. Optionally set Matl Tax Override — default tax type for agreement services, WO quote scopes, and WO scopes using this call type when entering taxable material-related work completed (material SM Cost Type):
    • Blank — standard default (taxable material lines → Sales; non-taxable → blank)
    • N-No Tax — tax type blank
    • S-Sales Tax Only — Sales (US) or VAT (AU/CA)
    • U-Use Tax Only — US companies only
  9. Optionally set Tax Option (procedure also says “Tax Option Override”) — default taxability for lines associated with this call type; overridable at agreement, agreement service, WO quote, or WO scope. If no override, the scope’s call type tax option is used:
    • N Not Taxable
    • P Taxable at Purchase Only
    • B Taxable at Billing Only
    • M Taxable at Purchase / markup at billing (if purchase tax was not captured, bill tax basis is the full billing subtotal, not just markup)
    • F Full Tax at Purchase and Billing
  10. Save, then assign the call type on service centers, divisions, and work orders as needed.

There is no Priority field on this form in current Trimble help.

Hard rules​

  • Required before posting work completed to a scope.
  • Inactive types cannot be assigned to centers, divisions, or work orders.
  • Auto-close is a three-way interaction with SM Company Parameters — company setting off means this checkbox has no effect.
  • U use-tax override is US only; AU/CA sales tax type is VAT.
