Setting Up SM Standard Items

SM Standard Items are common work-order charges that are not work-completed labor, equipment, or parts (examples: fuel surcharges, trip charges, waste disposal). Because they do not use technician pay, equipment rates, or part unit cost, you must define cost and billable rates. They default as Cost Rate and Billable Rate on SM Work Orders, Work Completed, miscellaneous lines. They can also be set up as standard charges at the customer and/or service-site level so they auto-add to each work order for that customer/site (SM Standard Charges). They can also represent work you do but do not charge under special conditions.

Before you start​

  • No formal prerequisites. If you use Cost Type, it must exist in SM Cost Types.
  • Related (not required here): rate templates, effective-date templates, customer, service site, work-order quote (override billable rate).

Steps​

  1. Open SM Standard Items.
  2. Enter Standard Item — code/name, up to 20 characters (examples: TrpChg, Trip Chg, Surcharge).
  3. Enter Description — up to 60 characters.
  4. Enter Cost Rate — default cost rate; defaults on miscellaneous work-completed lines; may be overridden.
  5. Enter Billable Rate — default billable rate; defaults on WC misc lines and on the invoice; may be overridden on the work order and/or invoice. If the line’s work-order scope Price Method is Non-Billable or Flat Rate, the line’s Billable Rate is blanked and cannot be changed, regardless of this rate.
  6. Optionally enter Billable Markup Percent — enter 5% as 5.00000 to use a markup instead of a flat price. An entry replaces the Billable Rate. (Form overview also says if defined, Billable Rate is cleared and markup is applied to billable cost; procedure/field defs only say the percent replaces Billable Rate.)
  7. Optionally enter Cost Type (SM Cost Types) — defaults as the cost type on misc WC lines that use this item.
  8. Save.

Hard rules​

  • Markup percent replaces Billable Rate (do not leave both as competing defaults).
  • Zero-charge pattern: set cost and billable to 0.00, or keep rates and select No Charge on each applicable WC miscellaneous line before invoicing.
  • Billable rate can be overridden at rate template, effective date template, customer, service site, and/or work order quote (see Setting up Standard Item Overrides).
