Setting Up VA Security Administration

VA Security Administration restricts a user’s security-admin rights so they can administer security only for specific company/module combinations in VA Form Security and VA Report Security. The form is available only when Enable Security Administration is selected in VA Site Settings, and only a Master Security Administrator can open it. Restricted admins then see only the allowed company/module rows in those two grids.

There is no Trimble topic slugged setting-up-va-security-administration. Coverage is split across the VA Security Administration form, Turn On the VA Security Administration Form, Restrict Security Form Access to Specific Company / Module Combinations, and Create a Master Security Administrator.

Before you start​

  • Carefully choose who can use VA Site Settings, and set form security on it in VA Form Security. The first user who checks Enable Security Administration becomes the first Master Security Administrator and can restrict others’ ability to administer VA Form Security and VA Report Security.
  • That first user (and every later master) must already have Global access to all companies in VA Form Security. Otherwise the form icon may be grayed out in the Viewpoint Administration Programs menu.
  • Once Enable Security Administration is checked, only a Master Security Administrator can clear it. For everyone else the checkbox is grayed out.
  • A Master Security Administrator is a user who has access to VA Security Administration and VA Add Admin.
  • Restricting admin scope does not replace VA Form Security company access. The user still needs company access there, plus access to the VA Form Security and VA Report Security forms (directly or via a security group).

Steps​

Turn on Security Administration​

  1. Confirm the first master has Global company access in VA Form Security.
  2. Open VA Site Settings → select Enable Security Administration.
  3. Click OK. That user becomes the first Master Security Administrator and VA Security Administration is enabled.

Add later Master Security Administrators​

  1. Confirm the target user has Global access in VA Form Security.
  2. Open VA Security Administration.
  3. Menu: Options → Add Master Administrators.
  4. On VA Add Admin: F4 in User Name, pick a user, Save.

Restrict company/module admin access​

  1. In VA Form Security, grant the user access to VA Form Security and VA Report Security (directly or via a security group). Restrict companies/modules there as needed for their normal form access.
  2. Open VA Security Administration.
  3. Companies: pick companies, or Global for all companies (also covers companies added later; same security level across all).
  4. Users: pick users. Search filters the list and is case-sensitive; typing one letter/number checks the first match. All selects only the filtered set, not items hidden by the filter.
  5. Refresh Grid.
  6. Optional: Grouping checkbox switches the grid to a standard table (filter by column values, drag column headers to regroup, wildcards * or %).
  7. Access column: set Full (restrict procedure) / grant access for company/module combinations you allow; leave None for no access. Example: Payroll (PR) only in Company 1 and Accounts Payable (AP) only in Company 2.
  8. Apply.

Initialize Access Level (form page): sets access for the user listed in the grid to Allowed (all company/module combinations for the selected users) or None (no specific access). Trimble uses Allowed here and Full on the restrict procedure for the same idea; field defs do not define Access, Refresh Grid, Apply, or Initialize Access Level.

Hard rules​

  • Form is useless until Enable Security Administration is on, and only a master can use it.
  • Only a master can turn Enable Security Administration back off.
  • Global is sticky: future companies inherit that security level.
  • Search is case-sensitive; All does not select items hidden by the filter.
  • Company access via VA Form Security is still required in addition to Full/Allowed cells here.
  • If you cannot open VA Security Administration, you are not a master or Security Administration is not enabled.
