Using IM Work Edit

IM Work Edit edits records in the work file created by IM Import. The grid is sorted by import ID and record type. Form help: About the IM Work Edit Form. There is no help slug using-im-work-edit. Review/edit is also step 8 of Importing Data from Third-Party Systems.

Only Upload Value is editable. All other columns are display-only. Grid columns depend on the import template and record type. When finished, upload with IM Upload.

Before you start​

  • A data file is already imported with IM Import (work file exists).
  • Upstream: supported file format, IM Template, optional IM Cross Reference, field mapping, and a Record Key identifier if attachments are included.

Steps​

  1. Open IM Work Edit.
  2. Import ID: defaults to the last-used ID; F4 to look up.
  3. Record Type: defaults from the template for single-file imports; for multi-file imports, specify the record type.
  4. Use Record Seq and the arrow buttons to move through work-file records.
  5. Review display columns: Column Name (destination column), Identifier (destination field number), Imported Value (from the text file).
  6. Change Upload Value as needed (this is what will upload).
  7. Optional tools:
    • Options > Apply Viewpoint Defaults: restore Viewpoint defaults on the selected record after you changed a field that had a Viewpoint value.
    • Delete: select Record Seq → Delete Record. Recovery only by re-importing the data file.
    • Clear Work File (button or Options > Clear Work File): removes all records for that Import ID. Recovery only by re-import.
    • Options > View Errors: opens the IM Import Errors / IM Error Messages form. Disabled when there are no errors.
    • Records > Update all Record Sequences: when on, changing any sequence writes the same Upload Value to all sequences for that Import ID / Record Type / Import Template / Identifier. Turn it off before editing if you do not want that fan-out.
  8. When finished, run IM Upload. Direct import writes the database table; batch import goes to a batch form (then IM Batch ID and batch processing).

Hard rules​

  • Only Upload Value is editable, despite form wording that you can “add, delete, or modify” a record. Linked procedures cover delete, clear, defaults, and errors; no add-record procedure is linked.
  • Customer sort name: if more than one record shares the first 15 characters of the customer name, the first Upload Value keeps the 15-character uppercase name (example Bragg Construction East / 3525 → BRAGG CONSTRUCT); later records append the customer number (BRAGG CONSTRUCT3526).
  • Delete and Clear Work File are irreversible without re-import.
  • View Errors is disabled when the work file has no errors.
  • Turn off Update all Record Sequences before an edit if you do not want every sequence updated.
