Using the GL Chart of Accounts Copier

The GL Chart of Accounts Copier duplicates an existing part 2 or part 3 structure into a new department, business unit, or region.

When to use the Copier​

The Copier does not replace Code Format Design or GL Account Parts decisions. Use it after parts and format are defined to speed account creation across reporting segments.

Recommended pattern: Import or create accounts for the first Part 2 value (for example, 10), then use the Copier to duplicate that structure to other Part 2 values (20, 30, and so on). This pattern is especially useful when the GL Chart of Accounts separates revenue, direct cost, equipment, and G&A into distinct buckets.

Before you start​

  • GL Account Parts and the Code Format Design decision are complete.
  • The source part 2 or part 3 instance and its accounts already exist and are correct.
  • The chart structure for your first Part 2 value (the template) is finalized. Errors in the source are copied to every new instance.

Steps​

  1. Create the destination part instance in GL Account Parts if it does not exist yet.
  2. Open GL Chart of Accounts Copier.
  3. In Source GL Account Mask, enter the existing part 2 or part 3 value to copy from.
  4. In Destination GL Account Mask, enter the new part value.
  5. Click Preview and review the accounts that will be created.
  6. If the list is correct, click Copy.
  7. Review the copied accounts in GL Chart of Accounts to confirm account types, subledgers, and descriptions are correct.

Notes​

  • Errors in the source structure are copied to every new instance. Fix the template first before copying.
  • Always preview before copy.
  • The Copier duplicates account structure only. It does not create or modify the part definitions themselves.
  • The Copier does not copy custom fields. When custom fields must be copied with the accounts, prefer TAD for that copy instead of Copier alone.
