Using the VA Audit Log Viewer
VA Audit Log Viewer is a read-only inquiry of changes already written when most Vista form records are edited: HQ Master Audit (HQMA) or other VPLog audit tables. It shows old value, new value, date of change, and user. Grid columns include table name, key string, company, action (add/change/delete), field name, old value, new value, modified date, and user name. You cannot add, update, or delete data here. Prefer this viewer over HQ Audit Detail (report ID 281), which “displays only older historical data.” Help still says prefer the viewer for “all audit history,” but results are capped at the top 1,000 records.
Before you start
- Some records log automatically; others only if Audit Options are set on the module’s Company Parameters Audit Options tab. Example: VA Form Security edits write HQMA.
- UD tables appear only if Auditing is checked on UD User Table and Form Setup for that table.
- Datatype security hides records you cannot access, even when Auditing is on.
Steps
- Open VA Audit Log Viewer.
- Company: company number, or blank for all companies (procedure also says blank Company can search VA tables / run for all companies). F4 = valid companies.
- Beginning Table via lookup/F4. Ending Table auto-fills the same table; change it to span tables. Field defs allow blank Beginning/Ending Table for all tables; the procedure does not say that.
- Field: lookup of fields on the Beginning Table only (F4 requires a table first). Blank = all fields in that table.
- Action (optional): A = Add, C = Change, D = Delete.
- Adjust Date fields (documented on the procedure only; not in online field defs).
- Beginning User / Ending User, or blank for all users. F4 = system users.
- Click Refresh. Status shows row count and completion time. Reset clears search fields only, not the grid.
- Review the grid (max top 1,000 rows).
Hard rules
- Read-only; no add/update/delete.
- 1,000-row cap.
- Field lookup is Beginning Table only.
- Reset does not clear the grid.
- UD Auditing off or missing datatype access can hide rows.
- Online field defs cover Company, Beginning/Ending Table, Field, Action, Beginning/Ending User only (not Date, Refresh, Reset, or the 1,000 cap).
