Using the VA Message Archive

VA Message Archive reviews every message that passed through the Vista mail queue. Messages land here from a Notifier job (WF Notifier Job Manager) or an email option (example: Send Notifications on WF Checklist Maintenance). Form help: About the VA Message Archive Form. There is no help slug using-the-va-message-archive.

You can search, view, and delete individual messages here. Bulk delete uses a separate purge form (see below).

Before you start​

  • No special prerequisites are documented for viewing or searching.
  • For bulk purge, decide the cutoff date carefully; purge removes all messages older than that date.

Steps — search and view​

  1. Open VA Message Archive.
  2. Enter one or more filters (From, To, CC, Subject, Source, Sent), then Search. About-page text lists From, CC, Subject, Source, and Sent; field defs also document To.
  3. Clear clears criteria. Show All shows every message regardless of filters (help may say “in the queue” even though this is the archive).
  4. Select a grid row and open the Info tab for source, date sent, failure date (if any), number of attempts, failure reason (if any), and message details.
  5. Other display fields include Body, Date Sent, Failure Date / Failure Reason, Attempts, and To / From / CC / Subject / Source.

Steps — delete one message​

  1. Select the message.
  2. Click Delete or Records > Delete.

For multiple deletes, use the purge form. Do not try to multi-select bulk delete on this form.

Steps — purge older messages​

  1. Open VA Message Archive Purge (About page may also say “VA Purge Mail Archive”).
  2. Enter a date in Purge Records Older Than (type or Calendar). The form shows how many records will be purged (Number of Records…) and Total Records.
  3. Click Purge Records. All messages older than that date are removed (not including messages on that date). Procedure title: Purging Messages from VA Message Archive.

Only Purge Records Older Than is defined in online purge field defs; Number of Records and Total Records appear in the procedure only.

Hard rules​

  • One-row delete here; range delete only on VA Message Archive Purge.
  • Show All ignores filters.
  • Purge is older-than the date, not on-or-before.
  • Message bodies can hold sensitive data; handle per company policy.
